To get a duplicate sales invoice or sales certificate for a Toyota in Pakistan, you apply through a Toyota authorised dealer, who forwards your case to Indus Motor Company, and you track it on toyota-indus.com/duplicate-document-track. You will need an FIR, adverts in an English and an Urdu newspaper, a Rs 100 stamp paper affidavit, an ownership certificate from the excise office and biometric verification, among 11 or more papers. The full list, by type of owner, is below.

The sales invoice and sales certificate are the two papers in a car's original file that only the maker can issue. Lose them and the car becomes hard to sell, because buyers and banks ask for the original file. Excise can replace a registration book. Only Toyota can replace these two.

Toyota issues duplicates only through an authorised dealer

Indus Motor's own guidance says the request must come from your authorised dealer, or any Toyota authorised dealer, to Indus Motor Company after you meet the document requirements. You cannot apply to Toyota directly as a member of the public.

If you apply through a dealer other than the one that sold the car, Toyota needs a no objection certificate (NOC) from the original invoicing dealer in favour of the new one. Ask the first dealer for it early, because it can take the longest.

An individual owner needs these documents

Toyota lists 11 numbered requirements for an individual applicant, plus an affidavit and, for a financed car, a bank clearance. The police report, two newspaper adverts and the ownership certificate are the ones that take time, so start those first.

Dealer letterThe authorised or processing dealer
NOC from invoicing dealerOnly if you apply through a different dealer

Newspaper adverts, full pageOne English and one Urdu daily
Biometric verificationDone during processing

Toyota adds that the applicant should not print their contact details, which in practice applies to the newspaper adverts. Keep the whole newspaper page, not a cutting, because Toyota asks for the full page where the advert appears.

Six situations add extra papers

Toyota's page lists extra requirements when the registration book is also lost, when the car was bought second hand, when it is unregistered, when it was financed, when the engine was changed, and when the owner has died. Check which apply to you before you file the FIR, because some must be written into it.

  • Registration book also lost. Say so in the FIR, the affidavit and both newspaper adverts. A new book comes from excise, through steps such as the duplicate registration book in Punjab.
  • You bought it from someone else. If the registration book still shows the previous owner, Toyota needs the original transfer and sales deed between you and that owner.
  • The car is unregistered. You need a letter from excise, and the FIR, affidavit and adverts must say so.
  • The car is or was on a bank loan or lease. You need the bank's certificate, transfer letter or NOC, plus the computerised registration ledger showing the hire purchase mark cleared. The steps to remove a bank lien from a car registration produce that ledger.
  • The engine was changed. Both the old and new engine numbers must appear on every document, with your written undertaking giving the reason.
  • The owner has died. The dealer first seeks approval from Indus Motor's Customer Relations Department, with legal documents, before processing.

One more rule surprises people. If you still hold one original, say the sales certificate, and want a duplicate of the other, you must surrender the original you hold. Toyota then issues a complete duplicate set.

A company, bank or leasing firm follows the same list with extras

An organisation needs the same core papers, plus a covering letter and an authority letter for the person handling the case, signed by the owner of the company. The form must carry the company stamp, and the authorised person attaches a CNIC copy and a visiting or employee card.

The rest matches the individual list: dealer letter, original dealer NOC where needed, invoice and certificate copies, registration copy, ownership certificate, FIR, clearance NOC, both newspaper adverts, biometric verification, the attested affidavit and, for a financed vehicle, the bank clearance.

How to apply and track the case

Collect the papers, hand them to the dealer, and track progress online. Toyota does not publish a fee or a processing time for duplicates, so ask the dealer for both in writing when you submit.

  1. File an FIR that names each lost document. The Islamabad police lost report works the same way for car papers in the capital.
  2. Place adverts in one English and one Urdu daily, and keep each full page.
  3. Get the ownership certificate from the excise office where the car is registered.
  4. Get the affidavit on Rs 100 stamp paper attested by an Oath Commissioner.
  5. Submit everything at a Toyota authorised dealer and complete biometric verification.
  6. Track the case at toyota-indus.com/duplicate-document-track.
Steps to apply for and track a Toyota duplicate document case

The tracking page asks for a search type and a search value. Keep the reference the dealer gives you when it forwards your case. If the case stalls, call Toyota's Customer Assistance Centre on 0800-11123, toll free, or email customer.relations@toyota-indus.com with that reference.

Common questions

Can I get a duplicate Toyota sales certificate without an FIR?

No. Toyota's list requires a police report naming the lost sales invoice, sales certificate or registration book.

Do I need newspaper adverts for a lost Toyota file?

Yes. Toyota asks for adverts in an English and an Urdu daily, and for the full newspaper page where each appears.

Can I apply at any Toyota dealer?

Yes, but if it is not the dealer that invoiced the car, you need an NOC from the invoicing dealer.

What if I bought the car second hand?

If the registration book still names the previous owner, Toyota needs the original transfer and sales deed between you and that owner.

How much does a Toyota duplicate document cost?

Toyota's page does not state a fee. Ask the dealer for the charge in writing before you submit.

How we verified this

What we checked, where we read it, and what we could not confirm.

We read Indus Motor's duplicate document guide, the duplicate document and tracking pages, and the customer relations page on toyota-indus.com on 24 October 2026. We did not run a tracking search, because we hold no case reference. Fees and processing time are not published on those pages.
